Terms of Service
Version 2.1 · Effective 30 September 2026
CoachBoard (the "Service") is operated by CoachBoard, an Australian business (ABN 46 907 905 466). By connecting your Instagram account and using the Service you agree to these terms.
The Service
Coach Board helps businesses respond to their own Instagram Direct Message conversations, including generating and sending voice notes in the business owner's own consented, cloned voice. You are responsible for the content you send and for complying with Instagram's and Meta's terms and policies.
Acceptable use
- Only connect Instagram accounts you own or are authorised to manage.
- Do not use the Service to send spam, unsolicited, deceptive, or unlawful messages.
- Only create a cloned voice with the explicit consent of the person whose voice it is.
- Use the Service within Instagram's messaging rules, including its reply-window policies.
Accounts & access
You can disconnect your Instagram account at any time, which revokes our access. We may suspend access for misuse or to comply with Meta's requirements.
Disclaimer & liability
The Service is provided "as is". To the extent permitted by law, we are not liable for indirect or consequential loss arising from use of the Service.
Who we are
CoachBoard is an Australian business based in Queensland (ABN 46 907 905 466). "CoachBoard", "Coach Board", "we" and "us" mean the same service and operator. "You" means the business that signs up, and everyone on its team who uses the Service.
What CoachBoard is
CoachBoard is a tool for managing your business's Instagram direct messages. People on your team write and send every message. CoachBoard never sends a message on its own: AI can draft a reply, but a person must choose to send it.
Instagram and Meta
CoachBoard connects to Instagram through Meta's official messaging API, using an Instagram account you own or are authorised to manage. You must follow Meta's and Instagram's terms and policies at all times. Meta decides what its platform allows and can change it. We are not responsible for any restriction, block or ban Meta places on your account because of how you or your team use Instagram.
Messaging windows
- Meta only allows replies within 24 hours of a lead's last message to you.
- If you connect GoHighLevel, text replies can be sent through GoHighLevel for up to 7 days after the lead's last message.
- Voice notes can only be sent within the 24-hour window. They can't be sent in the extended 7-day window.
These limits are set by Meta and GoHighLevel, not by us, and may change.
Your own Claude and ElevenLabs accounts
AI features (reply suggestions, chat summaries and automatic pipeline stages) run on Anthropic's Claude using your own Claude API key. Voice notes are generated by ElevenLabs using your own ElevenLabs account. You must create these accounts yourself and pay Anthropic and ElevenLabs directly for your usage. Their charges are separate from your CoachBoard subscription. We store your keys encrypted and only use them to run the features you turn on.
You may only clone a voice that is your own, or that you have the written consent of its owner to use.
AI suggestions can be wrong
AI-generated drafts, summaries and pipeline stages can be inaccurate or incomplete. You are responsible for reviewing everything before it is sent or relied on.
Your data and security
Your data is stored securely and is only accessible to people in your organisation. We never sell it. When you close your account, or ask us to delete your data, we delete it within 30 days, except records we are required by law to keep (such as billing records for tax). We use these service providers to run CoachBoard: Meta (Instagram), Stripe (billing), Supabase (database), Clerk (sign-in), Vercel (hosting), ElevenLabs (voice), Anthropic (Claude AI) and, if you connect it, GoHighLevel. See our Privacy Policy for details.
Free trial, billing and cancellation
- New subscriptions start with a 7-day free trial.
- A card is required to start the trial. When the trial ends, your card is charged automatically for the plan price shown to you before checkout, unless you cancel before the trial ends.
- After that, you are billed monthly in Australian dollars, in advance.
- You can cancel at any time from the billing settings in the app. Cancellation takes effect at the end of your current billing period, and you keep access until then.
- Refunds are handled in line with the Australian Consumer Law. Nothing in these terms limits any right you have under it.
- If a payment fails and isn't resolved, or your subscription is cancelled, access to the app is paused until billing is up to date.
Setter seats
Each plan includes a set number of setter seats, shown to you before checkout. You can't invite more setters than your plan includes.
Acceptable use (in addition to the above)
- Don't share logins. Each person on your team uses their own seat.
- Don't attempt to access another business's data, or to disrupt the Service.
- Don't use CoachBoard for anything unlawful, misleading or harassing.
Suspension and termination
We may suspend or close an account that breaches these terms, puts other customers or the Service at risk, or is required to be suspended by Meta or by law. Where it's reasonable, we'll tell you first and give you a chance to fix the problem. You can close your account at any time by cancelling your subscription.
Limitation of liability
To the extent the law allows, our total liability to you for any claim about the Service is limited to the amount you paid us in the 3 months before the claim, and we are not liable for indirect or consequential loss, including lost sales or leads. This doesn't exclude any guarantee or right you have under the Australian Consumer Law that can't be excluded.
Changes to these terms
If we make a material change that affects paid subscriptions, we'll email you at least 14 days before it takes effect. Continuing to use CoachBoard after that means you accept the change. The version and effective date at the top of this page always show the current terms.
Governing law
These terms are governed by the laws of Queensland, Australia, and you agree to the non-exclusive jurisdiction of its courts.
Privacy
Your data is handled per our Privacy Policy.
